What we collect and why
When you book a class. We collect the parent or guardian’s name, email address and phone number, plus your child’s name, age or school year, and which classes they attend. We use this to manage bookings, take payment, and contact you about classes, including reminders, cancellations and changes. Our lawful basis is that we need this information to deliver the classes you’ve booked (contract).
Health and emergency information. If you tell us about your child’s medical conditions, allergies or additional needs, or give us emergency contact details, we use them only to keep your child safe in class. We treat this information as confidential, and only the class teacher can see it. We process it with your explicit consent, and you can update it or withdraw it at any time.
When you contact us. If you email us or use a contact form, we keep your message and contact details so we can reply.
Photos and videos. We only take photos or videos of children for our website or social media with the parent or guardian’s written consent. You can withdraw consent at any time, and we’ll remove the content wherever we reasonably can.
Marketing. We’ll only send you news about new classes, term dates or events if you’ve opted in. Every email includes a way to unsubscribe.
Payments
We take payments online through our booking system, Class Manager, and its payment processor. We never see or store your card details.
Who we share your data with
We never sell your data. We share it only with the services we need to run the business:
- Class Manager: bookings and payments
- Venues or authorities, only where the law requires it or in an emergency involving your child’s safety
Cookies
Our website uses only the cookies it needs to work. Pages that include our booking system may also set cookies from Class Manager, which it needs to process bookings. We don’t use advertising or tracking cookies.
How long we keep your data
- Booking and attendance records: for as long as your child attends, then [2] years after their last class
- Payment and financial records: 6 years, as HMRC requires
- Health information: deleted once your child stops attending
- Photo consent records: for as long as we use the image
Your rights
Under UK GDPR you have the right to:
- see the personal data we hold about you or your child
- have inaccurate data corrected
- ask us to delete your data, unless we’re legally required to keep it
- object to or restrict how we use it
- withdraw consent at any time, where we rely on consent
